Ordering mugs, tumblers, tote bags or blankets with your company logo sounds simple. Then the supplier asks for a “vector file,” quotes a “setup fee,” and mentions a “PMS color,” and a quick holiday gift turns into homework. Here are the 10 things we’d want to know before placing a custom logo order, whether you buy from a local print shop, an online promo company or a wholesale marketplace.
1. Start Earlier Than You Think
Custom items are made to order, so they take longer than regular shopping. Alibaba’s own seller guide puts a typical custom logo order at 5 to 8 weeks from design approval to delivery when ordering from overseas factories. Local and U.S. promo shops are often faster, usually 1 to 3 weeks, but they fill up in November and December.
Rule of thumb: for Christmas gifts from overseas, order by mid-October. From a U.S. shop, order by early November.
2. Know Your MOQ (Minimum Order Quantity)
MOQ is the smallest number a supplier will make for you. It can be as low as 25 pieces for simple items like tumblers, or 500+ for printed paper goods. Watch for two different minimums on the same listing: one for the blank item and a higher one for adding your logo. Always ask, “What is the minimum with my logo?”
3. Have the Right Logo File
This is where most first orders get stuck. Suppliers want a vector file: a logo drawn with lines and shapes, so it stays sharp at any size.
- Good: .AI, .EPS, .SVG or a vector .PDF
- Usually not good enough: a .JPG or .PNG copied from your website or a phone photo, especially for engraving or embroidery
If whoever designed your logo gave you files, look for one of the “good” types. If not, many suppliers will redraw it for a small fee. Just ask first.
4. Pick the Right Logo Method for the Item
- Laser engraving: metal tumblers, pens, wood and bamboo. Looks premium and never fades, but it’s one color only.
- Screen printing: tote bags, shirts, some mugs. Cheapest for larger runs of simple 1 to 3 color logos. Each color adds cost.
- Embroidery: blankets, hats, jackets. Very durable and upscale. Tiny text doesn’t stitch well.
- Full-color printing (sublimation, UV, DTG): mugs, notebooks, blankets. Handles photos and gradients well.
5. Match Your Brand Colors with a Pantone Number
“Blue” on your screen can come out a very different blue on a mug. Printers match colors using Pantone (PMS) numbers, a standard color code. If you know your logo’s Pantone numbers, include them. If you don’t, ask the supplier to match a color sample you mail or photograph under good light, and expect small differences.
6. Always Approve a Digital Proof
A proof is a mockup showing exactly where your logo goes, how big it is and in what color. Check the spelling, size, placement and colors carefully. Once you approve it, mistakes on the proof become your mistakes. Never let production start without one.
7. For Bigger Orders, Pay for a Sample First
A physical sample usually costs $5 to $60 plus shipping, and it’s the cheapest insurance you can buy. You’ll see the real color, feel the quality and catch problems before 200 of them arrive. For anything over a few hundred dollars, we’d always order one.
8. Ask for the “Delivered” Price, Not Just the Unit Price
The price per piece is only part of the cost. Add these before comparing suppliers:
- Logo setup, screen or plate fees
- Per-piece logo charge (often listed separately)
- Gift boxes or individual packaging
- Shipping, especially air freight for rush orders
- Import duties and fees on overseas orders. The U.S. has suspended the old $800 duty-free allowance for small imports, so even a small overseas order can owe duties. Ask the supplier or shipper to quote them up front.
9. Use Only Logos You Have the Right to Use
Put your own company, team, church or event logo on gifts. Don’t ask a factory to print sports team logos, cartoon characters or brand names you don’t own. That’s trademark infringement, and legitimate suppliers will refuse. It’s also a warning sign if a supplier offers to.
10. Pay Safely and Keep Everything in Writing
- Pay by credit card or through the marketplace’s protected checkout. Never by wire transfer or gift card to a seller you don’t know.
- On Alibaba, pay only through the platform so Trade Assurance buyer protection applies.
- Get the quantity, price, logo method, colors and delivery date confirmed in writing before you pay.

FAQ
How many custom gifts should I order?
Count everyone on your list, then add 5 to 10% extra for new hires, last-minute clients and the occasional damaged piece. Leftover logo items are still useful for trade shows and welcome kits.
Is it cheaper to buy blank items and print locally?
For small quantities (under about 25 to 50) or tight deadlines, often yes. For larger orders, factory-direct pricing usually wins if you have the time.
What if my logo is only a JPG?
Ask the supplier whether they can convert it. Many will for a small fee. For simple printing a high-resolution file may work, but for engraving and embroidery a vector version gives much cleaner results.

The Bottom Line
Great logo gifts come down to three things: time, the right file, and a proof you actually check. Start early, send a vector logo, approve the proof carefully, order a sample on bigger jobs, and pay through a protected method. Do that, and your holiday gifts will show up looking as good as your brand.
